Folders

A folder is a place to which a document belongs. Every document is in exactly one, or in none — then it is among the unassigned.

What folders are used for

  • Accounting firm: one folder per client.
  • Company with branches: one folder per center.
  • Fleet management: one folder per vehicle, with refueling records calculated per car.
  • Project work: one folder per project.
  • Accounting period: one folder per year, if that suits you better than filtering data.

Additional features of a folder

A folder is not just a document. It can overwrite the identity of the account, i.e., its own IČO (Company Identification Number) and company name. This allows the accounting firm to identify the direction of the document by the client, not by itself: an invoice from a supplier is considered received by the client, even if the accounting firm has nothing to do with the supplier.

Additionally, you can set the color of the folder, default upload options (document type, direction, kind, target format, accounting currency), the firm in accounting to which the documents go, and sharing with another user.

You can have up to two hundred folders.

Archiving

A folder that has fulfilled its purpose is archived, not deleted. It will no longer be offered during assignment, but the documents within remain and can be found. An archived folder can be restored at any time.

You can also delete a folder from the folder management after typing its name. You can either delete just the folder — documents will be moved to the unassigned — or delete it along with the documents; the latter will then go to the trash like a regular deletion.
