Creation and Setup of a Folder
Folders are managed in settings (Manage Folders), but you can create a new one directly from the folder selection above the upload.
What is Configured for a Folder
| Option | Purpose |
|---|---|
| Name | What the folder is called in selections, up to one hundred characters |
| Color | Badge in the listing; without color, it remains gray |
| Who I am | Name or company name and IČO (Company ID), which override the account identity |
| Document Type | Pre-filled template, e.g., fuel receipt for a vehicle |
| Direction and Type of Document | Pre-filled direction, possibly type hard-coded (e.g., credit notes) |
| Target Format | What is offered during upload and what goes out via webhook |
| Accounting Currency | Applies only for export to Pohoda |
| Company in Accounting | Which company in the connected accounting the documents go to; the button bears the service name, e.g., Fakturoid |
| Sharing | Who can see the folder, see the dedicated page |
Default options are just pre-filled, not locked. Eventually, an invoice for service will land in the vehicle folder, and it can be switched before upload. The options currently set above the upload can be saved in the folder with one click (Save current options as default).
Company Identity in the Folder
This is the most important option and is often overlooked. Without it, the document direction is determined by the identity of the entire account.
It is set up using the Who I am button in the folder, including lookup in the ARES registry. In the folder line, it shows what applies to its documents: either the own name and IČO, or the same value with a note from account settings, or a warning that the identity is not set anywhere.
Example: accounting firm Alfa manages client Beta. An invoice issued by Beta arrives in the "Beta" folder. Without the overridden identity, ParseDoc will evaluate it as received, because Alfa is not mentioned on it. With the overridden identity, it will be correctly marked as issued.
It is overridden by fields: the folder can specify only IČO and leave the name on the account, or vice versa. The identity is saved separately from the default options, so saving one does not overwrite the other.
Unclassified
Documents without a folder lie among the unclassified. Unclassified are not a folder, have no color or sharing, but default upload options apply as well — they are set in the manage folders on the first line and are tied to the account. The same applies to the Who I am button on that line: it changes the identity of the entire account, just like the My Company section in settings.
Naming
Concise and unambiguous. Names appear in badges in the listing, where space is limited, so a long name will be truncated and become indistinguishable from others. In the address for receiving emails, the name is written after the plus, see Receiving by Email.
