Documents

Everything related to individual documents: how they enter the service, how to search within them, how to verify them, and what can be done with them next.

Document Lifecycle

A document goes through statuses visible in the overview:

StatusWhat it means
Waiting in queueUploaded, waiting for available capacity
ProcessingRecognition is currently underway
Waiting for verificationRecognized, waiting for your confirmation; cannot be downloaded or sent
CompletedConfirmed, or processed without verification; webhook sent
ErrorProcessing failed, credits refunded

Hovering over the status badge shows why the document is waiting for verification or why it failed. An unsuccessful document can be uploaded again — the duplicate check won't stop it.

Processing that does not complete will be retried: the document returns to the queue and attempts again, up to three times. If it fails a third time, it ends up as an error, and credits are refunded. So in the Processing status, the document will not remain forever.

What the Document Contains

Each document retains the original file, the read data, a list of findings from checks, the channel through which it arrived, and activity logs of what actions were taken on it. The original can be opened at any time in the preview next to the data, which is the only reliable way to verify that the read amount actually appears on paper.

The document can be renamed (pencil icon next to the title in the document window). The file name remains, the downloaded original keeps the same name.

How Long the Document is Retained

The retention period is governed by the plan at the time of upload: 30 days on Free, one year on Starter, five years on Business, ten years on Scale. After the period expires, the document is deleted entirely, along with the data. The date is visible in the document detail as We will keep until. A document waiting for verification is not deleted.

Next Steps

  • Uploading — all ways the document can enter the system.
  • Document Overview — listing, filters, and bulk actions.
  • Document Verification — form, findings, and confirmation.
  • Trash — where documents go after deletion and how to recover them.
